The Postbeamtenkrankenkasse (PBeaKK) was founded in 1909 to provide dedicated health insurance for employees of the former Imperial Post and Telegraph Administration in Germany. Over time, it developed alongside the German Reichspost and later the Deutsche Bundespost, offering health coverage to postal officials and employees. Today, PBeaKK is a public law corporation providing comprehensive healthcare services to around 460,000 fully insured members and approximately 2 million supplementary insured members who are or were employed in the successor companies of the postal service.
Challenge
The project was driven by the need to optimize and automate existing processes. The primary focus was on reducing repetitive tasks to relieve employees, while at the same time addressing challenges arising from workforce attrition. The main goal was to implement efficient process automation in order to minimize recurring activities and streamline workflows. Key areas included inbox processing, the use of forms within the existing health insurance software, and the processing of data from external tools such as MS Excel. PBeaKK aimed to implement a centralized RPA solution, partially operated as a shared service. A crucial requirement was to design automation in a way that avoided storing personal data in the cloud.
Objective
The project’s objective was to establish and operate a high-performing RPA platform and to develop, implement, and maintain automated processes on a long-term basis. This included both the technical design and implementation of the infrastructure as well as the introduction of a comprehensive RPA governance framework. Core elements were the systematic identification, collection, development, and deployment of suitable RPA processes.

Following acceptance, msg assumes operational responsibility for 48 months in accordance with agreed service levels.
